How to Add Inventory to a Move
To add Inventory to a Job, press the “Add” button on the main Inventory screen.
The Destination and Room is displayed in the top left hand portion of the display (see International / Attic in the below screenshot). The number of the Inventory Item is located to the left of a selected Item (see Chair #60 below).
If an Item is split into multiple parts, each portion will have its own unique Inventory number.
How to Create a Packing List
2.A – How to use Barcoding to create a packing list
There are three primary ways to use barcoding to create items in a packing list.
Before starting, ensure you have Barcoding enabled and all barcoding settings properly set to your preferences.
1) Creating items by Scanning a Barcode
This method is most useful to users who first label all items and later create a packing list.
The standard process would be:
Pre-print labels
The user attaches a label to each item to be inventoried
Using either an external barcode reader or the device’s own camera, the user scans the barcoded labels, which will automatically create an item in Mobi’s packing list, with the barcode scanned assigned.
The user can edit the newly created item’s details (description, dimensions, condition, etc) as needed
2) Creating un-numbered items and later assigning a barcode number to them
This method is most useful to users who first create a packing list of all items and later attach labels to the items.
The standard process would be:
Ensuring first barcoding numbering is enabled, the user creates new items in Mobi using the “add” option
Items get created without an assigned number
The user attaches a barcoded label to an item
The user selects the item on the packing list
The user clicks on “assign Barcode” option for the selected item
Using either an external barcode reader or the device’s own camera, the user can scan the barcoded labels, which will automatically assign the scanned barcode to the selected item.
3) Creating items the traditional way and printing their respective labels as a last step.
Most useful to users who have a portable printer and only need the barcodes for completing a checkoff.
The standard process would be:
Barcoding options should be turned off.
The user creates new items in Mobi using the “add” option
Items get created with a Mobi Generated sequential number
The user writes the number down on the item’s packaging
Once the packing list is finalized, a barcoded label report is generated
The User Prints the barcoded labels report using a portable printer
The user attaches the barcoded labels to each item
2B – How to Create a Packing List
Specify whether you’re creating an estimate or an actual inventory list.
Select the Destination and Room for the items.
Begin adding inventory items by clicking on the item in the list on the right-hand side of the screen. You can filter these items if required by using the buttons above the Search bar.
If required, you can also assign each item of your inventory list a lot number or tag number for identification purposes. To do this, simply select the start number. All items added thereafter will then be allocated with a sequenced tag number. To change the lot number simply select start numbers again and all items added thereafter will be allocated to that lot.
Once the item has been added, even more detail can be included by selecting it and choosing from the available options. You can edit the details added previously, change the condition if required, specify packing or crating, and even include photos in real time. If an item is bulky and needs to be split into several parts, such as a bed, you can use the split feature to document this.
How to Edit Inventory Item and Quantity
To Edit an Inventory item and increase the quantity to +1 and add the Condition the Inventory item is in you tap on the Inventory Item you wish to Edit (you will notice it turns ‘bold’).
Note: Be aware you can perform other actions using the Edit bar just keep in mind you need to tap on the specific Inventory item you wish to edit and the top Menu bar to perform specific searches.
Start Numbers
You are able to set the numbering sequence for your packing list. You can run several sequences and give them tags. In case you have pre-printed labels with certain numbers and possibly barcode, then make sure the format is {job number}-{item number}.
When you start the number sequence you just start with the item number. Later during the check offs the device will look for {job number}-{item number} with the scanning function.
4a. How to Select a Start Number
The “Start Numbers” button on the Inventory screen is to specify the next number of the inventory item being packed. If no Start number has been assigned, the number of the next item will be 1.
***It is important to note that Starting Numbers are specific to the Destination and Room combination. If a User sets a starting number for a specific Destination and Room and later decide to change rooms, inventory numbers will start again at 1 unless otherwise specified. ***
The Start numbers screen contains a “Number” field which starts at 1 and can be incremented or decremented by selecting either the + or – signs.
Alternatively, tap the pink number field to type a specific number into the Number pad that appears. Enter the correct number, and select the check mark. Press the ‘Save’ button to return to the inventory screen.
Inventory Sign-Off
After the Crew has added the Inventory and completed the Check Offs, the client can sign off on the inventory that has been packed. To do this, the client must run the Inventory Listing Sign Off document.
Inventory Sign-off is accomplished via the Inventory Sign-off icon on the “Jobs” screen:
When selecting this icon, the User is taken to the Report Preview screen. This screen gives the User an initial look at the specifics of the Job they have been working on. This includes the Client Name, Job Name, Origin / Destination details, the Inventory included in the Job, and a space for both the Crew and Client signatures. (Please note that the image below has been cropped for ease of viewing):
Once the client has verified that the Job details are correct, both the Crew leader and the Client will have the ability to add their signature, attesting to the fact that all the above information is correct, and that the crew have delivered all appropriate Inventory.
The User has the option of E-mailing or PDF’ing the Inventory Listing Sign Off report to ensure that both the client, as well as the company will have a copy.
The PDF and Email icons are at the top of the screen:
Custom Inventory Listing Document
If your company has a specific inventory listing / packing list document that needs to be sent to the client rather than the Mobi Inventory Listing document, view the Print screen to see the other documents available for printing/e-mailing.
From here you can select the document you wish to e-mail, and follow the same steps outlined above.
