Crate Returns
You must have a separate Crate Collection Diary Action on the Job for every collection you are making. You can have multiple crate types on one collection Action, but you cannot make one collection that covers multiple days or multiple deliveries.
If the collection details have already been entered, check the date the collection is scheduled for and the quantity of crates to be collected are correct, and amend if necessary.
Note: if the crate collection has already been invoiced on the main job invoice and the date needs changing you cannot do this, so leave this Crate Collection action and create a new one for the new date, but don’t double charge the collection charge. |
If the collection details have not yet been entered, navigate to Jobs>Diary tab> Crating section (at the bottom). Select the blue curved icon on the right hand side of the Crating section. This populates the Crate Return window, where you can amend the actual crates and enter crate numbers. Enter the number of crates to be collected in the Collected cell. You can double-click on the crate line to enter the total number of crates. The number of outstanding crates is entered in the last column; the system will not allow you to return more crates than you have outstanding. Click Apply.
The crates to be returned will be entered in the Crate Collection action as a negative figure, and a line for the Collection charge will be entered automatically. As with the delivery, you can amend the charge or enter NC in the Calc field.
The collection charges will be entered automatically from the postcode entered in the Delivery fields on the Details page. If there is a timed or same day collection, add this as well using the Add button.
Enter the Action Date – This is the date the crates are to be collected, sold or written off. The crate charges will be invoiced from the charge date of the crate until the action date. You cannot enter a higher QtyA than QtyE, or a higher quantity in either than is entered in the Crate Delivery action. See below for navigation.
Amend | The difference between the number of crates estimated and the actual number of crates. |

Sold | The number of crates sold. |
Write off | The number of crates to be written off i.e. they are not retrievable. |
Note: Extended hire is taken from the date that the crates were to be returned.
The Crate Write Off and Off Hire lines will now appear as a diary line. All diary actions need to be Completed . The action will turn green.
Multiple Returns
If you have more than one return, click on the appropriate Crate Delivery action and repeat the process for the extra collection. Note that if you are collecting crates on different days you must create a separate crate collection action for each collection. You can modify the Action description to specify the details of each action. If you have made one collection that covers more than one delivery, you must still create a Crate Collection line for each Delivery, just apportion the crates across the Deliveries (oldest first), for the same dates, and enter NC in the Calc fields so you don’t record additional collection costs and charges.
When the collection takes place, enter the number of crates that have been collected, if different from that expected. Make sure that you enter the value as a negative. Confirm the action is completed by clicking on the Completed icon . If you have not yet entered the actual, you will be asked if you want to convert your crating estimates to actual. Click Yes and the figure will be entered automatically. If the quantity collected is the same as that expected, Complete the action . You will be asked if you want to convert your crating estimates to actual. Click Yes and the QtyA will be entered automatically and the action turned green.
