Jobs – Import / Export
The Import and Export tabs allow you to enter information pertaining to international Export or Import Jobs. The Import or Export tabs will only be accessible on Import or Export Jobs.
Details Section
The Details section is used to indicate additional shipper details, such as passport number, nationality, vehicle information, goods, etc. Several of the fields on the Export/Import tabs are highlighted in light blue when selected, allowing you to choose from a list of available options.
Please note that if you are entering information for more than one vehicle, each additional vehicle will need to be separated by a comma. This applies to the Vehicle, Engine No. and Chassis No. fields.
The Contact Section
The Contact Details section is useful for indicating the location where the client can be contacted prior to their arrival at the destination address. This address could be different than the final destination addresses, if, for example, the client were to be staying in a hotel for a period of time. This information is generally included in communications to other parties involved in the move, such as the destination agent. You can enter the details of an address by either typing it in manually, or by selecting the ‘same as uplift’ or ‘same as delivery’ toggles.
Measurement Section
Any measurements previously entered into the Details Tab will display here. You can modify these measurements directly from this screen and choose to modify the values for individual Cost Options. In addition, you can use the Reciprocity columns to record different values that will later be used to calculate reciprocity amounts with other agents.
Enclosures Section:
This is a document-tracking and management system, which interacts directly with your Job Diary. You can add export or import-specific documents, delete documents, mark documents as received, or indicate them as not applicable in the case that one, or more, are not required. Adding a document here will create an associated diary action, for that document, to appear in the Job Diary.
For more information on this, please review: Enclosures.
Agent Instructions:
This section is primarily used to communicate instructions about this particular client to the destination agent.
The Codes field is where you can specify which charges you want the agent to bill you for.
The Agent Reference field can be used to enter the agent’s file number for this job.
In the Deliver To field, you can specify the type of delivery by double-clicking on the field.
The Agent Instructions field is used to add additional instructions for the destination agent. This field will already display any agent instructions that were previously entered through the Details tab. You can add to these instructions here.
Finally, the Exclusions field is used to indicate any exclusions that apply to the Code field. For example, if you entered: ‘Invoices all charges as per the quote’, here you can note what this excludes by double-clicking and selecting as many options as required or typing the exclusions in manually.
Import Tab Specific:
Other Details
This is where you can enter an agent’s reference number, more client details, such as date of birth and passport number, and the type of service [double click on Delivery Quoted To]. You can also set the invoice status to Free from this section, if needed.
