Set Up an E-mail Template in Multiple Languages
There are 2 ways to set up an e-mail template to be run in multiple languages. Follow the instructions below for more information.
Option 1
Find an existing or add an email template report configuration.
Edit the following on the details tab
Update the name to display first 3 letters of chosen language
Update Description to display first 3 letters of chosen language
Set the Def Language field to the chosen language for that template
Save
Select the email setup tab and complete the following in the chosen language:
The subject line
The body of the email in the selected language.
Click Save
Note: merge fields can be selected as normal, translations for these will appear as set in the language table.
4. Go back to the details tab and select ‘Copy’, then update the same details on the details tab but for the next selected language. E.g. if the first language was set in English, this version may now be French.
Update the name to display first 3 letters of chosen language
Update Description to display first 3 letters of chosen language
Set the Def Language field to the chosen language for that template
Save
You will notice at the top there are now 2 versions of the same report and you can differentiate between these by looking at the language column (highlighted above).
5. Select the email setup tab once more and complete the following in the new chosen language…
The subject line
The body of the email in the selected language.
Save
The setup is now complete. When running an email template for a job, Moveware will select the version depending on the language set on the job or if the source of the template is set as debtor, the language of the debtor.
Option 2
Enter both languages in the same template.
Find or add an existing template report configuration.
In the Details tab, ensure the “Def Language” field is blank.
Select the e-mail setup tab and in the merge field search enter “Lang.”
You will notice 2 merge fields available for each selected language:
<lang English> – This indicates the start of English text
</lang English> – This indicates the end of English text
Using this logic, update the subject line and body of the email by following the below steps:
Select first language starting merge field e.g. <lang English>
Enter the English text to display in the email
Select the closing merge field e.g. </lang English>
Directly after (no spaces), select the 2nd language starting merge field e.g. <lang French>
Enter the French (or any chosen 2nd language) text to display in the email
Select the closing merge field for that 2nd language e.g. </lang French>
The setup is then complete. When running an email template for a job, Moveware will then know to ONLY display the language based on the language set on the job or if the source of the template is set as debtor, the language of the debtor.
