Online Quote – Decline


It is possible for the client to decline the quotation on the Online Quote webpage. When they choose to decline, the client will be prompted to provide feedback for their decision.
No special job updates need to be done when utilising Online Quote (the quotation link itself will expiry automatically, so there are no data security risks). Simply follow your standard processes for closing lost jobs.
The process outline is as follows:

Automated Updates in Moveware

After a decline, some information will be updated in Moveware:

  • In Diary tab:

    • New ‘Online Customer Quote Declined’ Diary Action (see figure below)

    • Additional notes of the Diary Action will include:

      • Comments entered (if any) in the free text ‘Feedback’ by the client on decline,

      • Declined Pricing Options (including optional services selected or not)

    • New ‘Online Customer Quote Declined Email’ Diary Action,
      An email is automatically sent to the client. See section below ‘Automated Confirmation of Decline Email’ for more details.

  • In Costing tab:
    Keep the same costing option status (‘P’) but adds a red background to all the costing options.

Automated Confirmation of Decline Email

By default, Moveware is configured to create the confirmation of decline email. A Default email is then created and sent to the client. See figure below for the example of the default email.

The auto-creation of the new Diary Action can be altered in Moveware settings if you wish to. The Diary Action can be configured to send an email (either the default one proposed or an email you edited) or an SMS. There may be any number of actions setup, as well as several linked email reports for each action (for example one per language). Moveware will select the correct action and report to be created and sent based on the Diary Action and report configuration.

Empty Decline Feedback

Sometimes a client simply does not provide any reason as for why they declined. You can check on all outstanding quotations utilizing the tools described in article Sales Follow-up. In addition to that, you can utilize Moveware’s built in Sales Follow-up Diary.
