Online Quote – Send Online Quote
Once your quotation is setup and ready to be seen, you may now generate the link token and email it to the client. Below, an overview of the Send Online Quote process.
Here are some additional detailed step by step instructions on how to manage this part of the process:
Check Job Diary:
On the job you are quoting, go to the navigate to the Diary tab and check if there is an existing Diary Action ‘Online Customer Quote’.Add Action: if there is no Diary Action ‘Online Customer Quote’, add it by using the ‘Add’ button.
Re-complete Action: if the Diary Action ‘Online Customer Quote’ already exists, please refer to article Re-quoting that explains how to proceed.
Complete the Diary Action to generate email:
Use the complete button (blue tick icon ) to complete the Diary Action. Ensure you leave the ‘Update Date and time’ option checked when doing so (see figure below), so a date is recorded at this time.
The URL with token will only be created if the date is added in this step, meaning the Diary Action should have no date prior to completing. Once the Diary Action is completed, the URL token will be created.
Note that an online quote has an expiry date, after which the document is no longer available online. This means the client will lose access to the online quote. This expiry date is pre-set as a default and can be modified in Moveware settings. Note that the expiry duration is applicable for all job types. If a quotation has expired and you wish to make it available again for the client, you must re-issue and resend a new link (see article Re-generating an Expired Online Quote URL link).
Note that if there is no locked cost option, you will not be able to complete the action, and the following error will appear (see figure below).
Select Costing Option to integrate in the Online Quote:
A pop-up window (see figure below) will appear for you to select which costing option you want to integrate in the Online Quote webpage.
Preview Email & Online Quote webpage:
The email preview appears when the Diary Action is marked completed (step 2 described above).
The Online Quote URL with token will appear in the email as a hyperlink (see figure below).
If you wish to Preview the Online Quote webpage before sending it to the client, there are three ways you can achieve this:
In the email preview, highlight the hyperlink, click on the hyperlink icon and then select the URL in Href field. Copy the link and paste it in your web browser.
Or, another way to Preview the Online Quote webpage before sending it to the client: select the ‘Online Customer Quote’ Diary Action and click on ‘Preview’ button which will open a browser with the Online Quote.
Note: if an ‘Online Customer Quote’ Diary Action is not selected, the following popup is displayed when you click on the ‘Preview’ button
Or, another way to Preview the Online Quote webpage before sending it to the client: Select the Print Option ‘Online Customer Quote’ (see figure below). It will open the email preview and you can get the Online Quote link as described above.
