Virtual Survey Set Up

Introduction

In response to the inability to distinguish between an onsite survey versus a Virtual/Viodeo Survey, a new Survey Type field was developed to identify the type of Survey that is being performed. This new Survey Type field is displayed and set in the Removal Details tab.

In addition, the appointment can be highlighted in a different colour in the Moveware appointment diary, and will also create a different Diary Action called “Virtual Survey.” This Diary Action will sync with Outlook, which highlights the Surveyor in Outlook as a Virtual Survey.

To setup the Virtual Survey on the Removals Management > Details tab the following step needs to be completed.  Contact MoveSupport if assistance is required.

The below setup will enable users to enter the type of survey in the Removal Details Tab. When the Survey Type = Virtual, a Virtual Survey diary action will be created for the job.  Any other survey type will create the standard Survey diary action that already exists in Moveware.

1. In Codes Management filter by type Removal Details.  Scroll through the list to find the record with Code = Date Survey Type.  Set this to Active and have it setup to display in the manner the system required.

• In Codes Management filter by type Survey.  There should be two records setup by default with codes, Onsite and Virtual.  Make sure these are both set to Active with the “Virtual” Option should have the default field set to a value of V.

• In Codes Management filter by type Appointment.  Scroll through the list and find the record where Code = Virtual Survey.  Set this to Active and if required assign a value to the Colour field if the virtual survey is to display with a different background colour.

• In Dairy actions find the existing Survey diary action.  Create a Copy of this action and modify the Code to Virtual Survey and ensure it is set to Key Action of “Survey”

NOTE: Please ensure that both diary actions are set to Auto-create = N otherwise you will get a duplication of Survey Diary Actions. Moveware is designed to create the Survey Action on entry of the Survey Date in the Details Tab or booking through the Appointment Diary through the Survey Date Field, so the Auto-create function is not required on the Diary Action Survey where Key Action equals Survey.

• Optional Validation on Survey Type Field in Removal Details Tab. You can also choose to validate the Survey Type Field on the Removal Details – this validation can be configured by the Moveware Support Team at your request by logging a Support Request.
