Receive a Waybill

An impending Waybill import is usually initiated when an email is received from the Origin Agent. The email is generated when the Origin Agent dispatches the Waybill (see Sending Waybills).

The recipient of the email is specified by the sender as the designated destination contact for the Waybill. The email contains information on the upcoming MoveTransfer exchange along with any attachments that the sender is planning to attach to the Waybill import.

Within five minutes of receiving an email notification from an Origin Agent the MoveConnect Web Service will download the Waybill and Job details from the Moveware Web Server and import the data into your Moveware database. When a Waybill is imported a MoveTransfer diary action is created with the status Pending. See MoveTransfer Guide for an overview of receiving Waybills.

A received Waybill may be tracked using the MoveConnect windowWaybills module or by using Receiving Notifications.


How to Track a Received Waybill in MoveConnect

  1. In the main menu of Moveware navigate to Sales > MoveConnect or Operations > MoveConnect.

  1. To locate the most recently received Waybills, filter the records according to the When, Process, Message and Status fields:

Use the date range filter if you wish to only view imports during a certain date range.  By default the range is the week up until to today’s date

  1. From the filtered list highlight the required record and view associated details on the tabs of the MoveConnect window.

  1. To view the Waybill details, you will need to view the record in the Waybills module using the reference number provided in the MoveConnect window.


How to Track a Received Waybill in the Waybills Module

  1. In the main menu of Moveware navigate to the Waybills module.

  1. The Search tab is displayed by default, with the Number field colour coded. A newly imported Waybill will have a blue background to indicate it is a received  Waybill and purple font to indicate that it is pending.

Note: Refer to Waybill Colour Codes in the Appendix for more information on the colour coding.

  1. If you wish to only show received Waybills in the Search tab, set the Show MT filter located at the bottom right of the tab to Received.


How to Track a Received Waybill with Message Notification

  1. If the System Administrator has set up your Moveware account for message notifications, the application will check for and display any messages when navigating between windows or modules.

  1. Each time a new Waybill has been imported into the system a message is displayed. This is the most proactive method in terms of tracking newly imported Waybills and Jobs.

  1. The message contains details of the new Waybill, along with the numbers of the newly generated Jobs.  To dismiss the message, click the Complete [image-20240905-175142.png ] button. Click the Complete All [image-20240905-175148.png ] button if you wish to never see the message again. If you wish to see the message at a later date select the snooze time and click the Snooze [image-20240905-175157.png ] button.

  1. Once the message is dismissed, locate and view the Waybill and associated Jobs in the MoveConnect window or Waybills module as described above.
