General Ledger Accounting Close Date

The Accounting Close Date feature allows the user to close an invoicing period for each branch and company; in addition it can establish a date range within invoices are to be posted.


Invoice Date

If an Invoice Date is set it is entered into the Branch or Company File then if an Invoice is updated and has an Effective Date equal or earlier than the Close date, it is automatically set to one day after the Close Date.

For example if the close date is the 31/01/01 and we update an Invoice with the date of 12/12/00 then the application will change the Invoice date to the 01/02/01, which is one date after the close date. This changes The Invoice, Debtors Transaction and General Ledger Date. If an invoice with a date 07/02/01 is updated no date change is affected as the date is after the close date.

Note: This date only affects Invoicing not Receipts.


Close Dates

A close date can be set for the following types of transactions:

  • Debtor/Customer Invoice

  • Debtor/Customer Receipt

  • Creditor/Supplier Purchase

  • Creditor/Supplier Payment


How to Allocate an Invoice Date or Close Date:

  1. Navigate to General Ledger > Accounting Close Date.

  2. Choose the desired level of Branch or Company

  3. Enter the required dates at the top of the window.

  4. Highlight the Branches/Companies that are to be updated with the new dates.

  5. Select the Update button.
